Booking and Application

  • Please check the Hall Calendar for availability before submitting your application.

  • Applications should be submitted as early as possible, ideally at least 30 days prior to the event date. Payment is due upon application approval.

  • A security bond is required in addition to the hiring fee for all commercial events.

Venue Capacity and Usage

  • The maximum capacity for the premises is: 240 people in the Main Hall and 40 people in the Meeting Room.

  • Smoking is strictly prohibited inside the premises.

Operational Hours and Regulations

  • The standard operational hours for hire are 7:00 AM to 10:00 PM, seven days a week.

  • In compliance with Tweed Shire Council regulations, all music must cease by 10:00 PM, seven days a week.

Insurance and Refusal Rights

  • Insurance Note: The Trust does not provide Public Liability insurance for regular weekly and fortnightly events. Hirers must ensure they have adequate cover.

  • The Trust reserves the right to refuse any application that does not align with our community standards.

Venue Condition: The Hall, Kitchen, and Meeting Room must be left in the exact condition in which they were found. All furniture, chairs, and tables must be returned to their original positions and designated stacking areas.

  • Kitchen Clean-up: The kitchen must be thoroughly cleaned: sinks and bench tops must be clean, the fridge emptied, the floor swept, and all cooking utensils, crockery, and cutlery returned to their correct storage places.

  • Waste Removal: All garbage must be placed in the designated Council recycle and general garbage bins at the rear of the property. The hirer is responsible for removing any excess rubbish from the premises.

  • Park Reserve: If patrons or guests utilise the Park Reserve area and its facilities, including the public toilet block, the hirer is responsible for removing all associated rubbish.

  • Final Security Checks: Ensure all power outlets, the stove, lights, fans, and hot water systems are turned off, and all windows and doors are securely locked upon vacating the premises.

II. General Conditions and Usage

  • Decorations: Decorations may only be attached to existing hooks or picture rails. The use of adhesive tape, Blu-Tack, nails, or thumbtacks is strictly prohibited. All decorations must be removed by the hirer at the end of the event.

  • Safety: Naked flames (e.g., candles, gas flames) are not permitted inside the venue.

  • Noise: Please keep all noise, including music, at a respectable and appropriate level.

  • Facilities Adequacy: It is the applicant's responsibility to ensure, prior to the event, that the hall's facilities and equipment are adequate for their hire needs.

  • Water Supply: Drinking water is not supplied to the main hall unless the kitchen is hired. We recommend that the hirer provides their own water and paper cups (non-plastic is recommended) for their event.

III. Liability and Bond

  • Damage and Repair: Any damage caused to the building, equipment, or Reserve during the hire period shall be repaired or replaced at the hirer's expense.

  • Bond Deduction: Any costs incurred by the Uki Hall Trust as a direct result of the hirer failing to adhere to these conditions will be deducted from the security bond.
